GENERAL JOB DESCRIPTION
The Business and Human Resources Coordinator is responsible for the day-to-day
bookkeeping and human resources functions, as well as business needs of the
agency. Under the direction of the Executive Director and management team,
performs Human Resources functions. This person will direct the work
complementary to the spirit and intent of the independent living philosophy.
This position reports to the Assistant Director for Operations.
DUTIES AND RESPONSIBILITIES
- Finance
- Assist in development and preparation of annual
budget.
- Provide financial and budgeting assistance to
department heads.
- Assist in preparation and maintenance of the
financial records and monthly financial report:
- Serve as liaison with accounting firm in the
processing of complete and accurate financial reports.
- Review general ledger on a monthly basis.
- Verify EFT payments and deposits and other
journal entries as required for preparation of monthly financial
reports.
- Responsible for and works with accounting firm to
process all agency Accounts/Payable and maintain all vendor files.
- Responsible for preparation of agency payroll in
coordination with accounting firm.
- Maintain all Independence, Inc. payroll records.
- Process and maintain all payroll garnishment and
deduction records.
- Ensure timely delivery, review and mailing of tax
and unemployment filings.
- Perform other financial and accounting functions
as needed.
- Human Resources
- Administer various human resources plans and
procedures; assists in implementation of personnel policies and
procedures; maintains personnel policies manual.
- Stay current with human resources laws and
current practices.
- Work with management in procuring employee
benefit programs and performs benefits administration.
- Conduct new employee orientation.
- Obtain, verify and maintain documentation
required during the hiring process and to assure legal and
company-directed compliance, i.e. conduct background checks on potential
employees, personal car insurance, I-9s, company equipment checkout,
etc.
- Maintain staff personnel and leave records.
- Serve as HR liaison to outside vendors and
contact for personnel related inquiries.
- Recommend new approaches, policies and procedures
to effect continual improvements in personnel management and compliance.
- Business Management
- Provide assistance and be responsive to staff
inquiries regarding benefits, payroll and other issues as needed and
appropriate
- Maintain master files of all business contracts,
legal documents, audit documents, etc.
- Coordinate annual audit with auditing firm, PASS
department, Assistant Director for Operations, Executive Director and
other staff as needed.
- In consultation with Assistant Director for
Operations, prepare and maintain financial procedure manual.
- Work with Assistant Director for Operations in
procuring and maintaining office equipment.
- Responsible for development and revision of
personnel and financial office forms.
- Work collaboratively with the PASS coordinator as
needed.
- Grants Management
- Prepare grant invoices and monitor expenditures
of grant funds.
- Monitor grant fund expenditures and request
movement of funds within a grant as needed.
- Maintain accounts receivable of Independence,
Inc. grants for budget control and financial reporting.
- Assist management and department heads as needed
in grant preparation.
REQUIRED QUALIFICATIONS
- Bachelor’s degree in related fields or minimum of 5
years experience
- Excellent communication and organization skills
- Demonstrated ability in effective planning, priority
setting, and handling multiple tasks
- Ability to read, analyze, and interpret complex data
related to job requirements
- Exhibit initiative, responsibility, flexibility and
leadership and to respond to a changing environment
- Possess intermediate knowledge of financial systems
and accounting
- High level of interpersonal skills to handle
sensitive and confidential situations and documentation
- Ability to consistently meet daily, weekly and
monthly deadlines
- Experience working with Word, Excel, and accounting
software
- Proven ability to work effectively in a team
environment
PREFERRED QUALIFICATIONS
- Accounting and human resources experience with a
nonprofit agency
- Experience working with people with disabilities
- Experience with grants management
- Professional Human Resources Certification
- Qualified person with a disability
